RESERVATIONS

RESERVATIONS  | GROUP SIZES | DEPOSITS | CHAPERONES

We have a two tiered reservation system.

Preferred Reservations
. For schools who have attended MarineLab in prior years, or been placed on a wait list, we have a mail-in reservation systems for the following year.

  • In January, we mail out "Request" cards to the schools on the preferred list.  Teachers return the card with their first, second, and third choice of dates and the number of boats they wish to reserve noted on the card.
  • In February, Reservations Office staff begin to fill in the calendar by hand.  We try to give teachers their first choice of dates, depending on their seniority with MarineLab (how many years they have been bringing groups), the number of boats they are requesting, and the school's grade level so that we combine elementary schools with elementary, middle schools with middle, etc. as much as possible.  In the event of a tie, we look at seniority first.  If all else is equal, we use the date on which we received the completed request card.
  • In mid-February or early March, a postcard is mailed back to the teacher with the assigned dates to allow the teacher to accept or refuse.

Standard Reservations

  • After March 15, we open the calendar to all schools to make reservations by phone.

Waitlists and Deposit Deadlines Spring programs have a deposit deadline of November 1 of the preceding year.  If you are interested in spring dates, calling during November may be productive!  Summer programs usually have a deposit deadline of January 20.  You may also get your name on our waitlist and let us call you if your specific dates open up!

Deposits Reservations are confirmed when a NON-REFUNDABLE 30% deposit per child is received. We MUST receive the deposits for the minimum number of students! The deposit amount is noted on the deposit contract sent with your confirmation notice.  This deposit is transferable to another child, but deposits received for children who subsequently cancel may not be applied toward the balance.

Chaperones  One chaperone per boat may participate free of charge. One additional chaperone per group may attend at room and board rates (to be determined by the Reservations Office, approximately $40 per day).  Any and all additional chaperones must pay the full program fee.  We require at least one chaperone on each boat.
